Position Overview

The Sales Administrator will manage the procurement, inventory, and documentation of equipment, ensuring accuracy in orders and invoicing while providing exceptional customer service.

PRIMARY JOB DUTIES:

  • Maintains and updates product and equipment information and specifications including pricing and lead times. Maintains transaction related-files for equipment sold.
  • Reviews, verifies, updates and ensures equipment and department invoicing is accurate and completed in a timely manner. Researches and resolves discrepancies. Scans all vendor invoices to vendor file.
  • Maintains and tracks all equipment inventories researching variances/discrepancies. Orders stock equipment to replace pieces sold.
  • Processes purchase orders by validating information listed, entering data into appropriate system, scanning documents, completing warranty documents, communicating necessary information to needed parties, mailing documents and constructing new machine customer packets.
  • Administers new equipment inventory process upon arrival including entering data into appropriate system, scanning documents, coordinating needed information with yard coordinator and mailing documents.
  • Process rental purchase, and rentals of Remarketing equipment.
  • Process all appraisal and inspection invoicing to their proper accounts.
  • Process shipping and receiving documents of remarketing equipment.

POSITION REQUIREMENTS:

  • High School diploma or equivalent required.
  • Minimum of 5+ years of sales support or customer service experience required.
  • Previous experience in similar industry preferred.
  • Knowledge of Caterpillar (CAT) product lines.
  • Knowledge of CAT software systems for verifying machine specifications.
  • Familiarity with principles of inventory control and quote-to-order process.
